Sponsor Guidelines and Rules

For All Levels of Sponsorship: A sponsorship agreement will be provided for all levels of sponsorship and will be signed by the curator and sponsor. Cash donations are to be made to the Naval Aviation Foundation, a 501(c)(3) organization.

Exclusivity: The only exclusive level of sponsorship is the Fleet Admiral, $25,000 level. Sponsorship at this level guarantees that no like products will be allowed to sponsor at any level. All other levels will be non-exclusive sponsorship. Once a company has established sponsorship in any category, however, another company cannot request exclusivity, but they may still sponsor at the Fleet Admiral level and receive all other benefits.

Exhibit Catalog: The catalog will be approximately 72+ full color pages. All winning and traveling quilts will be photographed and included in the catalog. The catalog will be sold online and at selected displays, museums, shops, etc. It will be available at wholesale prices to qualifying resellers.

Exhibits: All reserved exhibits (not to exceed 14 days) are fulfilled on a first-come, first-served basis. Sponsor pays for insurance and shipping to next location. Exhibit fee for exhibits included in the sponsorship levels will be waived. Sponsor must agree to all exhibitor rules and requirements. Email Lists for Marketing and Communication: Newsletters and updates will be distributed to the entire email list every 2-3 weeks via Constant Contact. Currently, a database of nearly 7,500 email addresses will be utilized. Sponsors must agree to distribute information to their existing customer lists, providing a hyperlink opt-in option for the Thread Tails and Vapor Trails (TTVT) Newsletter. We anticipate that the email contact list will quickly expand to 20,000+ through forwarding and announcements made through quilt and military publications. All Viewer’s Choice ballots provided for every display will include a section for attendee to request to receive emailed newsletters. We will be actively building this distribution list, utilizing both quilt-related sources and military-related contacts. All newsletters will remain on navyquilts.com after initial distribution. All email addresses and any other contact information remains sole property of the Navy Quilts Challenge Project (TTVT) and curator; information will never be sold or given away.

Promotional Patterns or Articles: Sponsors may provide educational patterns and articles, depending on level of sponsorship. An image and announcement of the pattern and/or article will be featured in the emailed newsletter, and a hyperlink will be provided for the full pattern and/or article via a PDF document. Sponsors are responsible for providing all content and/or images for distribution as camera-ready copy. The curator reserves the right to edit the copy for accuracy. Newsletter deadlines will be published on the website.

Exclusive Sponsor Emails: Based on level of sponsorship, curator will distribute mailing to entire email distribution list consisting exclusively of sponsor content. Naval Aviation Museum Foundation (NAMF) and curator reserve the right to edit content for accuracy and to confirm that the content is not objectionable or in violation of any NAMF, TTVT, or naval standards. Sponsors are responsible for providing any content or images for distribution to the curator.

Specialized Products for the Navy Quilts Exhibit: Sponsors can provide specialized products related to the Navy Quilts Project (with curator and NAMF approval) to be sold at navyquilts.com and certain quilt exhibits. In addition, the sponsor can offer these products to other retailers or sell these products at the retail level. Products will be provided to Navy Quilts at wholesale cost, net 30 days. Shipping will be paid at actual cost. All products must be approved by the curator and NAMF representatives, and sales are not guaranteed by the curator or NAMF.

Promotional Videos, Articles, & Interviews: Instructional videos will be produced on quilting techniques, judging information, etc. Some videos will be available to view for free on the website, and others will be available for purchase. Sponsor at levels of $5000 and above will have the opportunity for their products to be featured in these videos. Whenever appropriate and possible, these sponsors and their products will also be mentioned in interviews and articles. Curator is unable to guarantee the amount content included in publications created by others.

Donated Product: Donated product (when 50% of the sponsored level) will be used for prizes for quilt entries and must be agreed upon by both the sponsor and curator. The curator reserves the right to distribute the product in prize categories as deemed appropriate. At the curator’s discretion, sponsors below the $5,000 level may provide only product at retail value. The curator reserves the right to resell half the product on navyquilts.com and/or at selected exhibit locations. (The secured shopping cart for these sales is administered through jukeboxquilts.com). The remaining product will be distributed as prizes.
